Total Order Plus Version 2018 Features

The features listed below are included in the latest version of TOP 2018:

  • Backorder mask increased to 999,999.99 on the Backorder Report
  • Several reports have been added to print to a PDF:
  1. Accounts Payable Check Register
  2. Accounts Payable Payment Selection Register
  3. Accounts Payable Check Reconciliation
  4. General Ledger Chart of Accounts
  5. General Ledger Journal Entry Report
  • Correction made to General Ledger Retained Earnings at the end of a year
  • TOP Welcome screen displays the number of BBx licenses in use and if the license is currently up to date
  • Maintain Address Data in Order Entry now contains a new option ‘Is The Address Information Correct?  (CR-N-EMAIL-End). Type EMAIL to enter Other Order Information – Job Description, Customer Email and Ship-To Email
  • Added order Revision Date to Order Entry Header Data and all Order Entry history files
  • Added salesperson email address to the Salesperson Masterfile Maintenance on the Sales Analysis System Menu
  • Expanded the title and telephone extension fields for the Accounts Receivable Customer Contact Maintenance



QR Codes and Image Files

A QR (Quick Response) code is a two-dimensional barcode that is readable by smart phones. It allows you to encode over 4000 characters in a two dimensional barcode. QR codes may be used to display text to the user, to open a URL, contain a link to a Facebook page, contain discounts at your local grocery store or to compose text messages. They can be printed out and used for tagging any real-word object. See for information on QR codes.

There are many software programs that can be used to generate a QR code. Follow this link to see the options:

TOP customers can generate a QR code or any image file and have it print on their invoices. The only requirement to use this feature is to create the PDF and PRN files, which is placed in the /TOP/GRAPHICS folder on the server, and have the current version of TOP2012 and UnForm Version 7.0 and above installed on your system. The row, column and name of the PRN file is displayed in the Invoice Message Maintenance on the UM Options Menu. The C is the number of columns, R is the row number and F is the name of the QR file.

Currently, this feature is only set up to print on invoice format 1, see an example below of the information required in the Invoice Message Maintenance:


To read QR codes with your smartphone, you need an appropriate software app installed on your phone. For Android-based devices, you can use Barcode Scanner as one example. On iOS-Devices like iPhones, there are QR Code readers available on the AppStore, for example i-nigma. On Symbian devices, you can use Mobiletag barcode reader. TOP Interface

Before setting up to interface with TOP, you should first setup the items below.

Setup TOP Integration

TOP Ship Via Code

To setup TOP integration only requires setting up two additional ship via parameters. The Ship Via Maintenance can be found on the O/E Options Menu.

PM – Priority Mail          Bill Option:  Packages          Service Type:  FC Mail

MA – Mail                        Bill Option:  Packages          Service Type:  FC Mail



Map V Drive on Shipping PC

To transfer data between the server and the shipping, you will need to Map the V drive on PC to \\\TOP_IMPORT. For how to map a drive select this link. Export

Run Export from the TOP O/E Import/Export File Menu to create the STAMPS_COM.csv file. This will be needed before continuing to the steps below.

  1. Start if not running
  2. Select <Manage Profile> from profile pull-down menu
  3. Select New button 
  4. Select CVS/TextFile (*.csv or *.txt)
  5. Select Next
  6. Enter TOP_SC001 for Profile Name (001 is for company 1 in TOP)
  7. Select Next
  8. Select Create a new data source
  9. Select Next
  10. Select Text/CSV File
  11. Select Next
  12. Enter V:\CO001\SC for Location
  13. Select Next
  14. Select Test Connection  ->  Select OK
  15. Select Next for Confirm Connection
  16. Select STAMPS_COM.csv for Database Table
  17. Select Auto Match button
  18. Select OK for Auto Matching Done

This should map the following fields:

Package Tab:

  • Order Date: ORDER_DATE
  • Package Value: PACKAGE_VALUE

Shipping Options Tab:

  • Mailpiece: MAIL_PIECE
  • Mail Class: MAIL_CLASS
  • Printed Message: PRINT_MESSAGE

Recipient Tab:

  • Full Name: FULL_NAME
  • Address 1: SHIPTO_ADDRESS1
  • Address 2: SHIPTO_ADDRESS2
  • ZIP/Postal Code: SHIPTO_ZIP

Return Address:

  • Address 1: RETURN_ADDRESS1
  • Address 2: RETURN_ADDRESS2
  • ZIP/Postal Code: RETURN_ZIP

Second Step From

  1. Select Shipping Options Tab
  2. Select Mailpiece button   (Import and PostBack use the same table for Mailpiece)
  3. Select Maps To pull down menu
  4. Select an option (like Package)
  5. Enter the TOP Ship Via Service Type (example Priority Mail) in the New Code field
  6. Select Add
  7. Select Save after entering Mailpiece codes
  8. Select Mail Class button  (Import and PostBack use the same table for Mail Class)
  9. Select Maps To pull down menu
  10. Select an option (like Priority Mail and First Class Mail)
  11. Enter the TOP Ship Via Service Type (example Priority Mail and FC Mail) in the New Code field
  12. Select Add
  13. Select Save after entering Mail Class codes
  14. Select Next
  15. Select Same data source
  16. Select Next
  17. Map the field like below for Postback Data

  • Postage Amount: POSTBACK_TOTAL_COST

Third Step From

  1. Select Mailpiece button
  2. Select Maps To pull down menu
  3. Select an option (like Packages)
  4. Enter the description to display in TOP (example Packages) in the New Code field
  5. Select Add
  6. Select Save after entering Mailpiece codes
  7. Select Mail Class button
  8. Select Maps To pull down menu
  9. Select an option (like Priority Mail)
  10. Enter the description to display in TOP (example Priority Mail) in the New Code field
  11. Select Add
  12. Select Save after entering Mail Class codes
  13. Select Next
  14. Select Done
  15. Select Done

To use interface select TOP_SC001 profile, then enter TOP order number for Order ID field and select Get Order. Below is a screen example from after selecting Get Order.



  • The Export must be run before new orders/invoices can be pulled up in
  • When the Export is run, it also checks for shipped orders and uses that information to also update TOP.
  • The Find Order/Invoice Utility is used to display shipping information. For more info on displaying the order shipping info select this link.

Change Vendor From PO History Detail

While entering a PO, you can insert items purchased from other vendors into a new purchase order. This can be useful when multiple vendors carry the same item or when one vendor purchases another vendor.

The option is available from the Purchase History Detail Display (see below). This screen is accessed from the PO Detail Item Code entry after pushing the F1 key for history detail and selecting the Change Vendor option.
